AI agents for ecommerce: the one that answers the phone

July 29, 2026 · PhoneMyAgent Team

Almost every AI agent sold to ecommerce lives in a chat widget, an inbox, or a product feed. The channel nobody covers is the phone, and small shops still get phone calls, because there is a number on the contact page and because a customer who is worried about an order would rather speak than type. An AI phone agent closes that gap: you export your orders to a spreadsheet, import it, and callers who quote an order number hear the status of their own order, read from their own row, at any hour and without a person picking up.

The phone is the channel your shop tools ignore

Run a small online shop and you will recognise the split. Chat and email have tools, macros, canned replies and automation. The phone has you, or a mobile in a pocket, or a number that goes to voicemail and gets checked in the evening.

The calls are not many, but they are the wrong ones to miss. Someone rings because their delivery has not arrived and they are annoyed. Someone rings before ordering, because they want to know whether the item is really in stock before they pay. Someone rings because their card was charged twice. The email queue can wait an hour. Those cannot.

There is also the awkward fact that phone callers convert. A shop that answers is a shop that looks real, particularly for higher-value items and particularly for older customers, who ring rather than chat.

Your shop already exports the sheet

Every shop platform can export orders to .csv, and that export is the whole setup. Order number, customer name, status, date, sometimes a tracking reference and a phone number. That is more than enough to answer the calls you get.

With PhoneMyAgent you upload that export (.xlsx, .csv or .json) on the Data page, choose the column customers quote (the order number), and approve the sentence the agent may say back, for example: "Order 10482 for Ms Fischer was dispatched on 24 July and is with the carrier." Columns you do not map, margin, cost, supplier, internal flags, are stored but never spoken.

Then point a number at it, one from us or your existing line forwarded, and call it yourself. The 45 free minutes with no card are enough to export a real day of orders, import them and test it.

Order numbers are matched against the export exactly, and where the export carries a phone column your repeat customers are recognised before they say anything. Nothing is approximated, and the rest of the behaviour, several open orders or no match at all, is in what the agent does on an order status call.

How often to re-export

There is no live connection to your shop, deliberately. Import is an upload, export is a download, and nothing reads or writes to your store. So you decide a rhythm: most small shops upload once a day, in the morning, and edit individual rows in the dashboard when something changes during the day.

That is fine for order status, where the underlying facts move daily. It is not fine if you want the line to quote live stock levels, because an imported sheet will confidently state a stock figure from this morning. Keep stock questions as a message, or answer them from a document that describes your restocking rather than a number that changes hourly.

What it will and won't do

It answers questions from your uploaded documents (delivery times, returns policy, hours), reads a caller their own order status from your imported export, takes messages, books when you allow it, and transfers to a person on request. It will not place an order, take a payment, process a refund or a return, change anything in your shop, or promise a delivery date the export does not contain. It does not handle emergencies or give regulated advice, and callers hear at the start that they are speaking to an AI assistant.

Anything financial should reach a person. A double charge, a chargeback threat or a refund request becomes a message with the caller's number and their own words, which is a better outcome than an automated line trying to resolve it.

Billing is a monthly plan with an allowance of call minutes, never per minute. If you want the general version of these calls, read what WISMO calls cost a small shop, and if your orders live in a tracker rather than a shop platform, order tracking in Excel that answers the phone.

Frequently asked questions

Can an AI agent answer ecommerce order status calls by phone?

Yes. You export your orders to a spreadsheet, import it, and choose the column customers quote. On a call the agent looks up that exact order and reads back the status from the caller's own row, or takes a message if it cannot identify them. It never searches your order list freely on a caller's behalf.

Does it connect to my shop platform?

No, and that is deliberate. You upload an export and you can download the table again at any time, but nothing is connected to your store, nothing writes back, and no order is created or changed by a phone call. It means setup takes minutes and there is no integration to maintain.

How current is the order status it reads out?

As current as your last upload or edit. Most small shops export once a day and edit individual rows in the dashboard when something moves. If a status needs to be accurate to the minute, an imported sheet is the wrong tool and the agent should take a message instead.

Can it take an order or process a return over the phone?

No. It answers questions, reads out status, books appointments if you allow it, and takes messages. Orders, payments, refunds and returns all involve money and identity, so they go to a person, with the caller's number and their description already captured.

We only get a few calls a week. Is it worth it?

That is the case where it is easiest to justify, because those few calls are the ones you currently miss while packing, and each one is an order at risk. There is no minimum volume, and a monthly plan with an allowance of minutes covers a low-volume line cheaply.

Which columns should I include in the export?

The order number, the customer name, the status, the relevant date, and the phone number if you have it, since that is what lets the agent recognise regulars. Leave out margin, cost and internal notes, or leave them unmapped: unmapped columns are stored but never spoken.
