WISMO calls: what they cost you and how to answer them

WISMO stands for "where is my order", and it is the single most repetitive call a small shop takes. The caller wants three facts: has it arrived, when will it, and what happens if it does not. Every one of those facts is already sitting in your order sheet, which is why WISMO is the easiest call type to hand to an AI phone agent: it imports the sheet, matches the caller to their own row by the reference they quote, and reads back the status you approved. What a WISMO call really costs

The call itself is short. The interruption is not. You are at the counter, or under a sink, or plating food, and the phone goes. You stop, find the laptop, find the row, read it out, apologise, hang up, and spend the next few minutes remembering where you were. Ten of those a day is not ten minutes of work, it is a day with ten holes in it.

Large retailers solved this years ago by building tracking pages and status hotlines. That is why the search results for these phrases are full of brand names: people genuinely do ring companies to ask where their order is, all day, every day. A small shop cannot build a tracking portal, and often should not want to. Its customers ring because ringing works, and because the person who answers actually knows.

The second cost is quieter. A WISMO call that goes unanswered turns into a second call, then an email, then a complaint about communication rather than about the delay. The delay was never the problem. The silence was.

The three answers a WISMO caller is looking for

  • Is it here yet. A yes or no, tied to their order and not to orders in general.
  • When. A date if you have promised one, and a straight "I do not have a date yet" if you have not. Callers accept the second answer far better than they accept a guess that slips.
  • What now. Where to collect, when you are open, whether they need to bring anything, and who to speak to if something has gone wrong.

Notice that none of those require judgement. They require the right row, read out loud, by someone who is available. That is the entire job.

Answering them from the sheet you already keep

  • The caller has several orders open. It reads the five most recent and says there are more, instead of presenting part of the list as the whole of it.
  • Nothing matches. It says so and offers to take a message. A near match is never read out, because a near match is somebody else's order.

Afterwards you get an email with the transcript, a summary, and anything the agent did, so the calls you no longer take are still calls you can see.

Deflection is not the goal, answering is

Most advice about WISMO is written for companies trying to stop customers reaching them: send more tracking emails, push people to a portal, make the phone number hard to find. That advice does not fit a shop whose phone number is its shopfront. So the aim is not fewer calls. It is calls answered without you stopping. What it will and won't do

It reads the status your row contains, takes messages, books when you allow it, and transfers to you on request. It will not invent a delivery date the sheet does not hold, will not choose between two rows that could both fit, will not read columns you left unmapped, and does not handle emergencies or give regulated advice. Callers hear at the start that they are speaking to an AI assistant.
