Booking tracker in Excel: answer booking calls from it

If your bookings live in an Excel tracker, an AI phone agent can answer the calls about them: a guest quotes their booking reference or is recognised by the number they are calling from, and hears their own dates, room, session or pickup time read back. Two things are worth separating from the start. Looking up an existing booking comes from your imported sheet. The calls a booking tracker creates

Looking up a booking and taking one are different jobs

This is the distinction worth understanding before you set it up, because it decides what your morning routine looks like.

  • Existing bookings are read from the sheet you imported. Read-only: a call never changes a row. You keep editing the tracker as you always have, upload it again when it changes, or correct a single row in the dashboard when one booking moves.
  • New bookings taken on a call are handled by the agent's own booking capability, if you switch it on. Those arrive as bookings on your side plus the after-call email with the transcript and what was agreed. They do not appear in your imported Excel file, because nothing writes back into it.

So for a week where you take new reservations by phone, the sheet is still yours to maintain. What the agent removes is the confirmation traffic, which is the larger and duller half of the calls.

What it will and won't do

It reads back the booking in the caller's own row, takes messages, books when you allow it, and transfers on request. It will not move or cancel a booking in your spreadsheet, will not guess between two possible rows, will not speak unmapped columns, and does not handle emergencies or give regulated advice. Callers hear at the start that they are speaking with an AI assistant, and every lookup is recorded on the call log next to the transcript.

There is no live sync with Excel or Google Sheets: import is an upload, export is a download, and you can pull the whole table back into a spreadsheet whenever you like. For a tracker that changes a few times a day this is a small habit. For a system that changes every few minutes, it is the wrong tool and better said now.
